External Companies and Contracts
When you are trying to find sponsorship from an external company, you will have to create a contract which details how the sponsor agreement will work. Here is a list of everything you should include in the contract:
1. The Club or Society's name (UCLU not UCL)
2. The company's full name (including LTD or PLC etc)
3. The President and Treasurer's Name
4. The name of your contact at the company
5. The date the agreement was made - until the end date of the agreement/sponsorship
6. A detailed description of what the company will provide for you (money, kit, meeting rooms, costumes etc)
7. A detailed description of what the club must do for this sponsorship (provide volunteers, do an event, wear the logo on kit)
8. A signature from someone at the company (and their printed name)
9. A signature from a UCLU Sabbatical Officer or the UCLU General manager.
Never Ever:
We know that external companies work to their own timelines, which aren't always practical for the clubs. So we recomend you sit down and have a meeting with them about any events you want to put on, and work out a timeline and deadline dates together.
Take along any deadline dates or limitations concerning UCLU forms and paperwork when you meet them.
Try to understand their timetable, and make the two fit together.
You really shouldn't agree to do anything large with very short notice, as you need planning time for any large event! Any last minute submissions will more than likely NOT be considered. So please please please...
Plan ahead, manage your time and always think of Procedures!
You will need to hand in your Sponsorship contract with any EVENT BUDGET FORMS where you are using your sponsors money to uclu-csactivity@ucl.ac.uk

Never Ever:
- * Sign a contract yourself
- * Agree to the sponsorship without a contract
- * Take money from them without having the sponsor or contract approved first
- * Hand out your sponsors promotional material at Fresher's Fayre
- * GIVE OUT ANY PERSONAL CONTACT DETAILS
